UI Industry handles privacy requests through office@uiindustry.com. The applicable contracting counterpart is identified in proposals, orders and contracts issued for a specific engagement.

Commercial enquiries

When you submit a project enquiry, UI processes your professional contact details, company, project location, selected situation, timing, budget range and description. The purpose is to assess fit, request essential clarification, prepare a proposal and manage the resulting commercial relationship. The initial website record is retained for up to 24 months unless a contract, legal obligation or active dispute requires a different period.

Private commercial evidence

After an enquiry reference is created, you may choose to upload a limited evidence package. Files are stored privately, are linked to that reference and are available only to the authorised UI owner through the private registry. They are not sent to Search, the requirement assistant, lead qualification or analytics services. Website evidence expires after 90 days; owner-registry access and new uploads trigger removal of expired objects. If a contracted engagement requires longer retention, authorised material must be moved to its documented project repository.

Industrial Expert Network

Expert applications are used to assess network admission, verify professional relevance and identify potential fit with defined assignments. We collect professional contact details, location, expertise, experience, project evidence, standards, certifications, availability and contracting information. Applications are retained for up to 12 months unless the applicant reconfirms continued interest or another lawful retention requirement applies.

Legal basis

Depending on the interaction, processing is based on steps requested before a possible contract, performance of a contract, UI Industry's legitimate interest in managing genuine B2B enquiries and specialist capability, compliance with legal obligations, or consent where the interface specifically requests it. You may withdraw consent without affecting earlier lawful processing.

Access and disclosure

Commercial enquiries, private evidence and expert applications are restricted to authorised UI Industry users and service providers needed to operate the site. Expert profiles are not disclosed to clients or partners without a relevant assignment, an agreed disclosure route and any required confidentiality arrangement. Information may be shared with professional advisers or authorities where lawfully required.

AI-assisted features

The Search and Start a request interfaces identify when AI-assisted guidance is available. Submitted text may be analysed to identify intent, structure the problem, extract only facts stated by the visitor, expose missing information and recommend a permitted UI route. After a commercial enquiry is submitted, its text may also be classified internally for fit, declared value, urgency and review effort so UI can prioritise a human response. AI output is preliminary, is not an engineering or commercial approval, does not create a solely automated decision and is reviewed by a person before it becomes part of a professional deliverable. Uploaded commercial evidence is not supplied to these features.

Optional journey analytics

With consent, UI records page paths, route choices and conversion-step event names against a random session identifier for up to 90 days. The application analytics table does not record form text, Search text, file names, technical evidence, IP addresses or advertising identifiers. Refusing analytics does not restrict public content or forms.

Website, security and processors

The site uses infrastructure services needed for hosting, authentication, database and private-object storage, security and delivery. Essential technical data may be processed to keep the site secure and available. Optional analytics is activated only after the choice described in the cookie and analytics notice.

To prevent automated abuse of public AI and enquiry interfaces, the site temporarily stores a pseudonymous, time-windowed hashed identifier derived from the connection address together with a request count. The identifier expires after the applicable window and is not used for advertising or journey analytics.

International access

International projects may require controlled access by a producer, inspector, logistics provider or specialist outside the European Economic Area. UI will define the purpose, scope and contractual safeguards before disclosing personal information where those safeguards are required.

Your rights

You may request access, correction, deletion, restriction or portability where applicable, object to processing based on legitimate interests, or withdraw from future project matching. You may also lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing. Requests can be sent to office@uiindustry.com.

What not to submit

Do not submit identification documents, health information, financial-account data, passwords, classified or export-controlled data, safety-sensitive files requiring a separate route, or third-party material you are not authorised to disclose. The initial text form accepts no files.
