Strategic Sourcing & Cost Engineering

Turn an incomplete requirement, supplier search or set of quotations into a controlled RFQ and a defensible sourcing decision.

Decision-ready result

An issue-ready RFQ, qualified supplier position, normalized quotations, cost benchmark and award recommendation.

  • RFQ development
  • Supplier sourcing & comparison
  • Should-cost analysis
Strategic Sourcing & Cost Engineering

Match the blocked decision to the evidence, ownership and commercial route required to close it.

Commercial trigger

Is the requirement ready for market engagement, which suppliers are demonstrably capable, and which offer supports a defensible award?

Funded requirement
A procurement decision must move, but RFQ readiness, qualified supply capability or a common technical and commercial bid basis has not yet been established.

Nine contractable assignments

Enter through the buying event already in front of you.

Build or compare an RFQ, establish a should-cost, control a live supplier order, source temporary capacity or manage the route to accepted delivery. UI confirms the smallest credible assignment.

01S01 · Entry reviewCritical Requirement Review
Entry review01

We have a real requirement, but the correct buying route is still unclear.

Critical Requirement Review

Use this whenYou have an equipment tag, drawing, failure, quotation or deadline and need to identify the smallest defensible next step before further spend.

What we need from you

Available technical evidence plus a 60–90 minute working session.

What you receive
  • Information-gap register
  • Recommended execution route
  • Principal technical and commercial risks
  • Written next-step proposal
Commercial model

Fixed-fee diagnostic

After this result

Close, commission the smallest relevant Service, or request a Product quotation.

Why this mechanism is commercially defensible
Validated mechanism

A bounded discovery assignment before a larger mandate.

UI improvement

The paid review is credited into the next commissioned route, so diagnosis is not sold twice.

Responsibility boundary

This review selects a route; it is not engineering approval, supplier approval or a Product quotation.

Typical duration3–5 working days
Indicative fee€450–€900 · credited in full toward the commissioned follow-on project

02S09 · Strategic Sourcing & Cost EngineeringTechnical Definition & RFQ Pack
Strategic Sourcing & Cost Engineering02

The need is real, but the requirement is not yet clear enough for suppliers to submit a usable, comparable quotation.

Technical Definition & RFQ Pack

Use this whenYou know the duty or business outcome, but interfaces, scope, standards, evidence and acceptance criteria must be made quotable before supplier outreach.

What we need from you

Duty or required outcome, operating context, available drawings/data, interfaces, constraints, quantities and decision deadline.

What you receive
  • Controlled technical requirement and scope boundary
  • Interface, data-gap and responsibility registers
  • Supplier response template and commercial return format
  • RFQ pack with clarification and acceptance route
Commercial model

Fixed-fee technical-definition pack

After this result

Issue the RFQ internally, commission supplier discovery, or stop until the missing evidence is available.

Why this mechanism is commercially defensible
Validated mechanism

Structured RFQ inputs and supplier return fields before quotation.

UI improvement

The pack controls interfaces, responsibility and acceptance—not only a list of technical attributes.

Responsibility boundary

UI structures the requirement; specialist design authority, conformity decisions and client approvals remain explicitly assigned.

Typical duration5–15 working days after evidence review
Indicative feeFixed fee after evidence and complexity review

After this result

Issue the RFQ, negotiate, award, conditionally award, or stop.

Why this mechanism is commercially defensible
Validated mechanism

Capability-based supplier qualification followed by a controlled, like-for-like decision matrix.

UI improvement

The route works both before and after quotations exist and makes the qualification gate explicit.

Responsibility boundary

UI documents evidence and recommendation; the client retains award authority unless UI separately contracts Product supply.

Typical duration1–4 weeks
Indicative fee€1,500–€7,500 per commissioned phase

Import Go / No-Go Pack

Use this whenAn equipment quotation already exists and you need the landed cost, importer responsibilities, documentation gaps, timeline and risks before commitment.

What we need from you

Supplier quotation, technical file, destination, Incoterm, intended use, site requirements and decision deadline.

What you receive
  • Supplier and quotation risk review
  • Preliminary conformity and document-gap register
  • Landed-cost model, logistics route and responsibility map
  • Go / conditional-go / no-go recommendation
Commercial model

Fixed-fee pre-commitment review

After this result

The client imports with UI coordination, UI quotes contracted supply, or the import stops.

Why this mechanism is commercially defensible
Validated mechanism

Normalize supplier price into landed cost and a complete importer/site responsibility map.

UI improvement

The decision includes the route to operation, not only freight and duty arithmetic.

Responsibility boundary

Formal customs, legal and conformity conclusions require the appropriately appointed specialists and authorities.

Typical duration5–10 working days
Indicative fee€900–€2,500

05S05 · Supplier Quality & Delivery AssuranceProject Execution & Supplier Control
Supplier Quality & Delivery Assurance05

The PO is issued. Supplier progress, documents, changes, inspection and release need one controlled route.

Project Execution & Supplier Control

Use this whenA supplier is executing an order and you need schedule, submittals, ITP/hold points, inspection/FAT, changes, NCRs, expediting and release evidence controlled against the contract.

What we need from you

PO or contract, specification, document list, schedule, supplier location, inspection/FAT requirements, acceptance points and required release date.

What you receive
  • Kickoff baseline, manufacturing schedule and weekly evidence report
  • Submittal register, ITP/hold points and technical-document control
  • Change, delay, NCR and open-points registers
  • Inspection/FAT evidence and documented release recommendation
Commercial model

Milestone project or retained project-control capacity attached to a live PO

After this result

Release, conditional release, corrective action, hold, or transition into the controlled delivery route.

Why this mechanism is commercially defensible
Validated mechanism

Checklist/ITP → independent evidence → report → corrective action/reinspection → release decision.

UI improvement

The inspection gate sits inside a wider project-control system covering schedule, documents, changes and expediting.

Responsibility boundary

UI coordinates and verifies the agreed evidence; the producer executes manufacturing and named specialists execute regulated or certified work.

Typical durationProject-specific · minimum 3 months where recurring project control is required
Indicative feeFixed/milestone scope or €3,000–€10,000 / month per active project + approved specialist and travel costs

06S06 · Supplier Quality & Delivery AssuranceManaged Delivery to Operation
Supplier Quality & Delivery Assurance06

The equipment is approved. Nobody owns the route from shipping release to installed, accepted operation.

Managed Delivery to Operation

Use this whenYou have approved the equipment and need one coordination route from shipping release to site handover. UI coordinates the interfaces; any physical Product supply is quoted separately.

What we need from you

Approved baseline, PO, S04 import decision pack or S05 shipment-release recommendation and control dossier; shipping-release, packing, preservation and transport evidence; import and delivery responsibilities; site readiness; installation, commissioning and SAT scope; milestones, MDR, punch list and handover requirements.

What you receive
  • Release-to-site baseline and responsibility matrix
  • Shipping-release, freight, customs and delivery control file
  • Site-readiness, installation-method and SAT interface register
  • Approved handover dossier, punch-list closure and acceptance record
Commercial model

Fixed or milestone coordination service; contracted Product supply is quoted separately

After this result

Close the punch list, compile the handover dossier and prepare the acceptance record for client approval and signature; then move to lifecycle support where required.

Why this mechanism is commercially defensible
Validated mechanism

One control file ties milestones, responsibilities and evidence from shipping release through the site interfaces to the client-approved acceptance record.

UI improvement

The UI coordination fee, Product supply and all equipment, freight, customs, site and third-party costs remain separate and visible.

Responsibility boundary

UI coordinates the agreed route and evidence. Suppliers and named qualified parties execute freight, customs, installation, commissioning, SAT and statutory work.

Typical durationBaseline in 5–10 working days; execution timing is then project-specific
Indicative feeUI coordination fee from €5,000; equipment, freight, customs, site work and third-party costs are quoted separately

07S10 · Industrial Equipment Rental & Temporary CapacityManaged Industrial Rental Route
Industrial Equipment Rental & Temporary Capacity07

A shutdown, turnaround, outage, peak or emergency needs temporary operating capacity, but available equipment is not yet an executable site solution.

Managed Industrial Rental Route

Use this whenMaintenance, projects, utilities and operations teams that need temporary power and distribution, compressed or oil-free air, pumping, dewatering or bypass, heating, cooling or load-testing capacity with the duty, site interfaces, evidence, service cover and return conditions defined.

What we need from you

Operating event and deadline; duty, capacity, medium and redundancy; site and environmental conditions; rental and operating window; delivery, installation, operation and service boundary; compliance, commercial and return requirements.

What you receive
  • Temporary-duty, operating-window and acceptance baseline
  • Site-readiness, interface and responsibility matrix
  • Qualified availability, compliance-gap and full delivered-and-return cost comparison
  • Reservation, mobilisation, service-response, off-hire and return control file
Commercial model

Fixed-fee screen, fixed-fee comparison and milestone mobilisation service; fleet rental or any UI Product/supply quotation remains separate.

After this result

Stop, correct the duty or site boundary, reserve a qualified configuration, or commission mobilisation and return control.

Why this mechanism is commercially defensible
Validated mechanism

One accepted duty and site baseline → qualified complete configurations → full delivered-and-return cost comparison → written reservation → controlled mobilisation, acceptance, off-hire and return.

UI improvement

The UI fee never hides fleet rental, deposits, transport, customs and taxes, accessories, fuel or energy, consumables, installation, operator, maintenance cover, insurance, site work, demobilisation, cleaning or decontamination, damage, extension or late-return charges.

Responsibility boundary

UI defines, compares and coordinates the rental route. The proposal names the fleet owner, contracting party and every technical and site responsibility. UI does not own the fleet or act as design authority, certifier, installer, operator or site HSE authority unless a separately contracted qualified party is named.

Typical durationAvailability screen in 2–5 working days after the minimum data are accepted; qualified comparison normally takes 5–10 working days. Reservation, mobilisation and the operating window are equipment-, route- and site-specific.
Indicative feeUI fee €900–€2,500 for the availability screen; qualified comparison from €2,500 and mobilisation control from €5,000. Fleet rental, deposits and every physical or third-party cost are quoted separately.

08S07 · Manufacturing Outsourcing — RomaniaRomania Production Benchmark
Manufacturing Outsourcing — Romania08

We have a drawing, BOM or supplier quote. We need to know what production in Romania should cost.

Romania Production Benchmark

Use this whenYou need a defensible Romania ex-works cost range and feasibility route for CNC, precision metal, sheet-metal, fabricated, welded or low/medium-volume industrial work.

What we need from you

2D/CAD or BOM, material and treatments, tolerances, annual volume and lots, quality/certification needs, packaging, destination and current quotation if available.

What you receive
  • Romania ex-works cost range and cost structure
  • Economic volume, tooling/NRE and realistic lead time
  • Manufacturing process, DFM risks and missing inputs
  • Negotiate / source in Romania / keep current supplier recommendation
Commercial model

Fixed-fee should-cost; market validation and managed production are separately commissioned

After this result

Negotiate, obtain market-backed quotations, commission Romanian supply, or keep the current supplier.

Why this mechanism is commercially defensible
Validated mechanism

CAD/BOM and configuration inputs → transparent cost model → DFM/data gaps → market-backed quote.

UI improvement

Human review and Romanian production evidence replace a black-box instant price claim.

Responsibility boundary

The first result is a decision range, not an exact production quotation or unconditional local-capability promise.

Typical duration5–15 working days after data check
Indicative feeFixed fee after input and complexity review

09S08 · Products · Lifecycle SupportInstalled Base & Critical Spares Program
Products · Lifecycle Support09

We have an installed-base population, fragmented records and no defensible view of which continuity risks require action first.

Installed Base & Critical Spares Program

Use this whenYou need to rank installed-base continuity risk and decide what to document, stock, source, repair, replace, modernise or monitor.

What we need from you

Agreed asset population, asset register or CMMS/EAM extract, BOMs, maintenance history, failure consequence, redundancy, stock and lead-time position, lifecycle notices and decision window.

What you receive
  • Asset and data-gap register
  • Criticality and obsolescence ranking
  • Interchangeability and qualified replacement routes
  • Prioritised critical-spares and 90-day action programme
Commercial model

Fixed-scope baseline or critical-spares programme; retained lifecycle desk only after baseline

After this result

Execute the priority actions, buy separately quoted critical Products, or activate the retained desk after proof.

Why this mechanism is commercially defensible
Validated mechanism

Portfolio baseline → criticality/obsolescence ranking → replacement routes → prioritised execution.

UI improvement

The programme connects each high-risk line to evidence, an action owner and a real supply/repair route.

Responsibility boundary

Operational consequence and stocking policy are confirmed with the client; UI does not infer plant-criticality from a BOM alone.

Typical duration2–8 weeks for L01/L02; L03 is a minimum three-month retained service after baseline
Indicative feeL01 €1,500–€4,500 · L02 €3,000–€9,000 · L03 €1,500–€5,000/month
See lifecycle services
How to read the ranges

Indicative fees exclude VAT, travel, accommodation, equipment value, rental charges, freight, duties, site works and third-party engineering, laboratory or inspection charges. The fixed quotation is issued after the scope, available data and UI contractual role are reviewed.

Commercial models

Five ways to contract UI—each attached to a different risk.

The model follows the work being bought. A diagnostic fee, project fee, Product price, monthly retainer and success component are not interchangeable.

Continuation only after proofRetained desks are not the first service.

They are proposed only after a concrete assignment has demonstrated fit, working rhythm and measurable value. Romania Sales Desk follows the same logic: validate the market first; retain local representation only after evidence.
